FULL PLANNING, STYLING AND DESIGN, ON THE DAY MANAGEMENT AND SETUP: CEREMONY AND RECEPTION

 

This is the Big Kahuna of wedding packages!  The full wedding planning, design and styling package is for couples who would like the lead up to their big day to be completely stress free, leaving time for them revel in the bliss of being engaged. Wedding planning can be stressful, so why not leave it to the experts?  

 

This is a comprehensive package. We’ll plan each and every detail of your memorable wedding from start to finish. We’ll ensure that your unique personalities, style, preferences and ideas are incorporated into the day with those personal touches.

 

Your wedding day won’t be a recreated version of something you’ve already seen; it will be a unique and jaw-dropping space to reflect you as a couple. Sit back, relax and enjoy the wedding of your dreams!

 

Before Your Wedding Day

 

  • Concept development: Mood boards, colour palettes and storyboards will be created (and refined through feedback) so that we can pin down the look and feel of your day
  • If you don’t have one in mind, we will assist with venue selection in consultation with you
  • We’ll manage your entire wedding budget
  • We’ll create your signature wedding design and details
  • You’ll receive a personalised online wedding workbook – Aisle Planner
  • Weekly check-ins (via phone, email, facetime or skype) throughout the planning of your wedding
  • Decoration-related vendor coordinating and liaising in order to meet design brief. This includes: caterers, florists, stationery, lighting, prop hire, rental orders (chairs, linens, furniture etc)
  • Planning decorative details and installations, sourcing required materials and arranging separate quotes for their creation 
  • Booking and management of all suppliers
  • Detailed timeline/run sheet distributed to all suppliers prior to your wedding day
  • Organisation of venue site visits, cake tastings, and vendor interviews – suited to your schedule
  • Attending meetings with suppliers/vendors as required
  • Attendance of your wedding rehearsal
  • Ceremony & Bridal party coordination
  • Prop/furniture floor-plans, seating plans and venue layouts
  • Seating plan/table layout assistance
  • Management of the rsvp list if required
  • Wedding etiquette assistance and advice

 

On the Day

 

  • We’ll be there on the day to make sure that everything is going smoothly
  • On-the-day decorative styling at your ceremony and reception
  • On-the-day management of vendors (florists/lighting/marquee/photographer/videographer/hire companies, DJ, Band, Cake designer etc)
  • Wedding Day ‘Emergency Kit’ on hand

 

After the Wedding

  • Pack down the following day, if applicable

 

Finding Your Wedding Style  

 

This package includes an initial conversation to kick start your wedding planning, determine your requirements and discover your personal style, as well as an opportunity to start discussing the requirements of your day.

  • A consultation to give us the foundation to start a design process
  • Visual planning using a series of inspiration images, magazines, blogs and Pinterest
  • Unlimited hours of concept design time
  • Customised inspiration boards covering the following elements as a minimum; ceremony styling, stationery & branding, flowers, decor, furniture, prop hire & lighting, cake design
  • Layout plans of the ceremony and reception space, and any ancillary spaces
  • Email and phone support

 

Supplier Sourcing, Management and Administration

 

Choosing the right suppliers is a crucial element of your day. We will share our network of trustworthy suppliers with you. These suppliers will understand your vision. We would book and liaise with the suppliers directly.  

 

Any costs under $500 we can pay on your behalf with immediate reimbursement. For large sums, you can either pay the suppliers directly (on our guidance), and we will advise repayment schedules and reminders. Alternatively, we can provide a list of amounts due, you deposit into the Take A Vow account, and we’ll pay the invoices on your behalf.

 

From the point of booking to the day itself, there will be a number of emails and visits required with your suppliers, to ensure they understand your vision for the day.

  • Management of your entire budget via your personalised wedding workbook

  • No details will be forgotten.  We will ensure that everything is booked and that all timelines are created, kept up to date and distributed to the suppliers

 

Wedding Website

 

Should you choose to have a website dedicated to your wedding, we will check domain names available, and set up a website for you via SquareSpace. Design and set-up of the site is included in this package, but the continued running cost of the website after 12 months isn’t included.  

 

Imagery and information for the site will be provided by you. Guidance on wording of the site will be provided by Take a Vow.

 

Wedding Styling & Design

 

From the overall theme, colour, design, lighting, decor and style, we will make suggestions and work with you on the complete vision for your perfect day.

This includes:

  • Wedding design inspiration presentation to determine wedding design direction (explore design looks & feels)
  • Final inspiration board for client’s approval
  • Recommendations and guidance on rental and design vendors
  • We’ll attend design vendor planning meetings
  • Ongoing exchange of decor ideas and signature details
  • Ensure design cohesiveness: assist with linen selection, invitation & paper elements, rental items, props, logistics planning; on-site visits (as mentioned)
  • Coordinate design sample meeting with vendors to finalise design and tabletop details
  • Shopping for decorations and styling items

 

Rehearsal & on the day management & styling

 

We can guide you through the wedding ceremony rehearsal with family & friends. On your wedding day you should be able to relax and enjoy, safe in the knowledge that your ceremony and reception is being set up to your requirements, with creative flair and an eye for detail.  We will be there to ensure the day runs smoothly, liaise with guests and deal with any last minute emergencies, should any arise.

  • Attending and guidance at the ceremony rehearsal
  • Set up of the ceremony and reception venue liaising with vendors and staff
  • Management and coordination of the suppliers on the day
  • On site supervision with Take A Vow staff members to ensure flow of the day
  • Break down of the venue the following morning if needed, and arranging vendor’s to collect any hire items
  • Wedding Day emergency kit on hand

Travel & Costs

Unless noted, travel, flights, accommodation, ferries, parking, tolls, rental cars and expenses are not included.  If the venue is located outside of Auckland, mileage to/from Auckland CBD will be charged at .90c per kilometre. This is only charged if driving from Auckland to another city/town or in a location further than an hour from the CBD.

 

Terms & Conditions

From pricing indicates a wedding of up to 150 guests at a reception venue. Should a marquee or tent set up at a property then additional fees may apply. This is dependent on how many facilities are at the location, how much set up and styling is involved, and how many staff members are required. (See below). Location is also a consideration. Anything not specifically mentioned above is not included. Further elements can be included and a quotation will be provided as required. This ‘from’ pricing is a guide only. All packages are subject to additional staffing requirements based on:

  • How many guests are attending the wedding
  • How much set up is involved  (ie. tent and marquee weddings vs. venues)
  • How much styling is involved
  • As a guide we include the following number of staff:

Up to 60 guests – 2 x Take A Vow staff members
60-150 guests – 3 x Take A Vow staff members
Over 150 guests – 4 x Take A Vow staff members

8 hours is included on the day.  However additional hours can be arranged at $60 per staff member, per hour.

Take A Vow takes no responsibility for the service provided by recommended suppliers.

The proposal is for Take A Vow’s services only.  Decorations, lighting, hire items, travel, florals, catering, cleaning costs, bar/wait staff, cake and all other vendors costs are not included.

 

To secure your booking a 50% deposit is payable immediately, with 50% balance payable the week of the wedding.  All deposits are non refundable.

Partial Planning and Wedding Day Management

 

This is perfect for couples who are happy to partially plan their own wedding but still feel they would like a little guidance and advice from our experienced planner. There may be an area that you are not confident taking on yourself, or feel some professional advice would be valuable. Let us save you valuable time and money and guide you with vendor selection, and customised wedding design.  

 

This service also includes styling and ‘Complete Wedding Day Management’. It’s totally your choice how much or how little help you want – and whatever way you choose, you can expect the same level of care and attention to detail as our full wedding planning clients experience.

Wedding Day Management & Set up service

 

For the couple that has organised their day and needs the extra hands! We’ll talk with you to create a plan for how you wish to have your wedding ceremony and reception area displayed.

 

We’ll set up and take care of everything the morning of your wedding, leaving you and your family free to relax and enjoy this special time (and save your nails!).

 

 

 

Services include

 

  • Consistent communication via email
  • A site visit one month prior to the ceremony and reception venue to meet with venue staff/management. This is the opportunity to talk to you how you would like your ceremony and reception set up
  • Create a comprehensive timeline of the day, and communicate this to all the vendors via email
  • Attendance and coordination of the rehearsal the day before the wedding (30 mins)
  • Set up of ceremony and reception venue
  • Set up all personal items (including programs, favours, place cards, cake items, signage etc)
  • Coordinate and manage all vendors on the day
  • Coordinate and cue bridal party and family at the ceremony

A full list of suppliers/vendors must be provided to Take A Vow Weddings FOUR weeks prior to the wedding date.  A comprehensive list of styling elements required must be provided FOUR weeks prior to the event.

The Take a Vow example Elopement Package has been designed for couples wanting a no-fuss, intimate wedding day. It includes everything you need for a perfectly planned and styled ceremony, with optional extras to make the reception something extra special.  Ask about our elopement packages throughout New Zealand and overseas.

 

 

 

Services include

  • Meeting via phone or video call
  • Consistent communication via email or video calls
  • Wedding Styling & Design including a customised inspiration board covering the following elements as a minimum: ceremony styling, stationery, flowers, décor, furniture, prop hire, lighting, cake design
  • Site visits to ceremony beach or regional park locations and restaurant venues to meet with venue coordinator/management
  • Layout plans of the ceremony and reception

  • Auckland Council permit to have the ceremony on a local beach or regional park
  • Marriage Celebrant; includes skype meeting, email contact to put ceremony together, ceremony writing, ceremony from 1/2 hour prior & direction regarding marriage licence
  • Photographer for 5 hours, email contact via Skype or video call, high resolution edited photos provided on a USB or via drop box
  • 1 x Bridal Bouquet
  • 1 x Grooms Buttonhole
  • Make up artist for bride
  • Hairdresser for bride
  • Portable speaker for music at the ceremony
  • One tier wedding cake in your flavour choice with fresh flowers
  • Wooden archway for the ceremony

  • Set up & styling of the ceremony and chosen restaurant for your reception dinner

The following items are not included in the Elopement Package. However, we can provide them at an additional cost:

Options to have flowers and/or draping fabric on the archway (additional costs apply).  If you are having a bridal party, we can add buttonholes and bouquets, corsages or rose petal baskets for an additional cost.

 

Florals will be matched to your colour palette and style  (depending on what flowers are in season at the time). Should the flowers you choose not be in season they can often be imported at an additional cost. Summer in NZ brings some beautiful florals.

 

Cake flavour list will be sent to you for your choice. Allergy friendly cakes may incur a slightly higher cost for ingredients.

 

Should the wooden bench seats, arch and signing table not suit your styling, we can change to match, and will deduct or add appropriate hire costs.

(Credit cards unfortunately are not accepted).

All hire costs and vendor prices are based on 2019 pricing, therefore is subject to change for 2020.
